The Sales Coordinator role is crucial for maintaining the smooth and efficient operation of our sales department. You will act as the pivotal link between the sales team, clients, and internal departments, ensuring all processes flow seamlessly from initial inquiry to final delivery and reporting.
1. Sales Support and Administration
- Client Relationship Management: You'll be the first point of contact for many of our clients, handling inquiries via phone and email with professionalism and excellent communication skills. Your ability to build rapport and ensure client satisfaction is paramount.
- Documentation and Quotations: Prepare and process all essential sales documentation, including detailed quotes, proposals, sales contracts, and invoices. This requires meticulous attention to detail and proficiency in the entire Microsoft Office Suite, particularly Excel for tracking and reporting.
- Order Processing: Manage the end-to-end order processing system. This involves checking product availability, confirming pricing, and coordinating delivery schedules with the logistics team to ensure timely execution.
- Sales Material Management: Maintain and organize the inventory of sales presentation materials, product catalogs, and price lists, ensuring the sales team always has access to the most current information.
2. Reporting and Data Analysis
- Performance Tracking: Assist the Sales Manager by compiling weekly, monthly, and quarterly sales figures and performance metrics. You'll help analyze this data to identify trends, forecast sales, and flag potential challenges.
- CRM System Management: Maintain and update the Customer Relationship Management (CRM) system with accurate customer information, sales activities, and pipeline updates. Data integrity is critical for effective sales strategy.
- Commission Calculation Support: Provide administrative support in verifying and calculating sales commissions based on company policy and performance data.
3. Team and Internal Coordination
- Liaison: Act as the main coordinator between the sales force and other departments, such as Marketing, Finance, and Operations, to resolve issues and ensure a cohesive customer experience.
- Scheduling and Meetings: Coordinate and schedule meetings, appointments, and travel arrangements for the sales team, managing calendars effectively to optimize their time in the field.
- Event Support: Assist in organizing and coordinating participation in trade shows, conferences, and client events.
4. Required Qualifications and Experience
To excel in this role, you should possess a strong foundation in both academics and practical experience:
- Educational Background: A bachelor’s degree or diploma in a relevant field (business administration, marketing, or similar) is required.
- Experience: A minimum of 3 years of experience in a similar Sales Coordinator, Sales Support, or Administrative role is essential. Experience within the Gulf region is a plus.
- Skills: Exceptional Good English communication skills, both written and verbal, are mandatory. High proficiency with MS Office (Word, Excel, PowerPoint, and Outlook) is expected.
- Availability: You should be available locally in Qatar for immediate or near-immediate joining.
