Milaha is seeking a proactive and detail-oriented Crew Coordinator to manage the full lifecycle of offshore crew operations. From recruitment and mobilization to compliance and welfare, you’ll be the key link between the company, crew members, and regulatory bodies.
Key Responsibilities
As a Crew Coordinator, your role will be multifaceted and essential to the smooth functioning of offshore operations. You’ll be responsible for:
Crew Recruitment & Onboarding
- Source, screen, and interview offshore crew candidates from global talent pools
- Coordinate with HR and operations teams to ensure timely onboarding and deployment
- Maintain accurate records of crew qualifications and certifications
Visa & Documentation Management
- Process visa applications and gate passes for offshore crew
- Schedule and track offshore training, medical examinations, and mobilization logistics
- Ensure all documentation is complete and compliant with regulatory standards
Travel & Accommodation Logistics
- Book flights and arrange hotel accommodations for crew members
- Coordinate port and heliport transfers for offshore deployment
- Manage travel schedules and resolve any logistical issues
Personnel Administration & Payroll
- Maintain up-to-date personnel files for all crew members.
- Input payroll data and coordinate with finance teams
- Update crew records in Oracle and Shipnet systems
Emergency Response & Crew Welfare
- Handle emergency medical cases, including transport and documentation
- Ensure crew welfare is prioritized during medical or operational emergencies
- Liaise with hospitals, insurance providers, and internal teams
Compliance & Certification Coordination
- Work with authorities, training centers, and classification bodies to ensure crew certifications are valid
- Monitor compliance with MLC 2006, ISM, ISO, and OHS standards
- Prepare documentation for audits and inspections
Candidate Profile
Milaha is looking for candidates who bring a mix of technical expertise, industry knowledge, and strong interpersonal skills. Ideal applicants should meet the following criteria:
Education & Experience
- Minimum Bachelor’s degree in HR, Business Administration, or a related field
- 3–5 years of experience in HR, Marine Administration, or Crew Coordination within a marine/offshore company
Technical Skills
- Proficient in MS Office (Excel, Word, Outlook)
- Familiarity with Oracle and Shipnet systems is highly preferred
Communication & Industry Knowledge
- Strong English communication skills (verbal and written)
- Knowledge of offshore fleet recruitment processes
- Understanding of marine certifications, safety protocols, and international compliance standards
